BASHH Conference Charity Stands

Charity exhibition stands at BASHH 2027

Up to six reduced-rate stands available, including two free places awarded by application.

BASHH invites charities and community organisations to be visible and active partners at the BASHH Annual Conference 2027. The event takes place from 7–9 June 2027 at the Winter Gardens, Blackpool, bringing together the diverse range of sexual health practitioners to exchange learning, strengthen partnerships and shape the future of sexual health and HIV services.

We are offering six dedicated charity exhibition stands at the reduced rate of £650 + VAT. Two of these stands will be provided free of charge to eligible charities through a simple online application process.

Why exhibit?

A charity stand gives your organisation a platform to:

  • introduce your work to delegates from clinical practice, research, public health, policy and the voluntary sector;
  • amplify the voices and experiences of the communities you support;
  • showcase new services, campaigns, research or developing projects;
  • explore collaboration with BASHH members and other organisations;
  • contribute to conversations about equity, inclusion and community partnership.

What the charity stand package includes:

  • a dedicated charity exhibition space;
  • an electrical socket;
  • a trestle table and two chairs;
  • two exhibitor places;
  • your organisation’s contact details, logo and a 50-word summary in the conference app.

Who can apply for a free stand?

Applications are welcomed from registered charities and eligible not-for-profit organisations* whose work is directly connected to sexual health, HIV or the communities most affected by related health inequalities.

What we are looking for:

We particularly welcome applications that clearly explain:

  • the charity’s purpose, communities and current work;
  • how attending the conference would further its mission or increase its impact;
  • how its presence would contribute to BASHH’s work and benefit the conference community;
  • the new, developing or innovative work it would showcase;
  • why a free place would make attendance possible or materially more accessible.

How to apply:

Complete the short online application form by midday Monday 21st December. Applications will be reviewed against the published criteria, and all applicants will be notified by Friday 29th January.

If you are not awarded a free stand, you may still book one of the remaining charity stands at £650 + VAT, subject to availability.

How we will make our decision:

Applications will be reviewed by members of the Conference Advisory Group and each eligible application will be considered against the same criteria:

  • Potential benefit to the charity and its communities — 30%
  • Contribution to BASHH and value for conference delegates — 30%
  • Strength, relevance and timeliness of the work to be showcased — 25%
  • Access need and the difference a free place would make — 15%

When selecting the two successful organisations, we will also consider the overall balance of the applications, including the communities served, geographical reach, organisational size and area of focus.

The decision of the Conference Advisory Group will be final.

Key dates:

*Not-for-profit eligibility: The reduced charity rate and the two free stands are available to registered charities and qualifying small, community-led not-for-profit organisations working in sexual health, HIV or with communities most affected by related health inequalities. Community interest companies (CICs) and constituted community groups may qualify where they are accountable to the communities they serve, reinvest all surpluses in their social purpose and do not distribute profits to private shareholders or members. For non-charitable applicants, the opportunity is intended to support grassroots community work, including peer support, advocacy, education and community engagement. It is not available to organisations whose principal activity is supplying clinical services, testing services or other products to commissioners or customers through a commercial contracting model, even where those organisations have CIC or not-for-profit status. Employing paid staff, charging modest fees or holding a community-project contract does not, by itself, make a group ineligible.
